AIFormula Privacy Policy

AIFormula is an AI learning assistant at aiformula.com, operated by LearnFormula Inc. (“LearnFormula”, “We”, “Us”, “Our”). All capitalized terms used and not otherwise defined here have the meaning given to them in AIFormula’s Terms of Use.

Any version of this Privacy Policy in a language other than English is provided for convenience, and You understand and agree that the English language will control if there is any conflict.

We respect Your rights regarding Your privacy and personal information. We provide this Privacy Policy to help You understand how We collect, use, share, store and disclose information We obtain from or about You when You use AIFormula: asking the assistant questions, its chats, Memory, files, quizzes and study plans; the credit tracker, courses and certificates it shows from Your LearnFormula account; Course Studio and interview courses; and AIFormula’s MCP server, which lets an AI assistant You connect read Your learning records (together, the “Services”). As used here, “use” means use, access, sign into, connect with, visit or browse the Services on any device.

This Privacy Policy also describes the choices available to You about Your information, and how to see, correct and delete it.

THIS IS A LEGALLY BINDING AGREEMENT BETWEEN YOU AND LEARNFORMULA INC., AND BY USING THE SERVICES, YOU AGREE TO THE TERMS OF THIS AGREEMENT.

You should review this Privacy Policy together with AIFormula’s Terms of Use. AIFormula uses Your LearnFormula account, so LearnFormula’s Privacy Policy also applies to what LearnFormula itself holds: Your account, Your courses and certificates, Your credit tracker and Your purchases.

You should not use the Services if You do not agree with this Privacy Policy and the Terms of Use.

1. The Scope of this Privacy Policy

This Privacy Policy applies worldwide to information We collect through aiformula.com and through AIFormula’s MCP server at aiformula.com/mcp. LearnFormula’s own websites, learnformula.com and its sub-domains, are covered by LearnFormula’s Privacy Policy.

The Services work with third-party platforms (“Third Party Platforms”), such as the YouTube videos You can watch in AIFormula and the AI assistants, such as Claude, that You can connect to AIFormula’s MCP server. When You use a Third Party Platform, Your privacy is also subject to that platform’s privacy policy and terms of service. We do not control and are not responsible for the terms of service, privacy policies or practices of any Third Party Platform, and You should review them carefully.

2. Our Policy Concerning Children

We recognize the privacy interests of children, and We encourage parents and guardians to take an active role in their children’s online activities. We do not knowingly collect personal information from children under 13. Children under the age of 13 should not use or attempt to use the Services or send any information about themselves to Us. If We learn that We have collected personal information from a child under 13, We will delete it.

Parents who believe that We might have any information from or about a child under the age of 13 may write to support@learnformula.com and ask for it to be removed.

3. The Types of Information We May Collect

We may collect different information from or about You depending on how You use the Services. For example:

a. Your account

AIFormula has no password of its own. You sign in with Your LearnFormula account, through LearnFormula’s sign-in, including signing in with Google where LearnFormula offers it. We receive and store Your e-mail address and whether it is verified, Your name as LearnFormula holds it, the identity You signed in with and Your LearnFormula user ID, which links Your AIFormula account to Your LearnFormula records. Someone new can create a free LearnFormula account during sign-in.

b. Using AIFormula as a guest

You can ask a few questions without an account. We then give Your browser a random guest ID, kept in a cookie, and keep Your chats under it. If You sign up or sign in from that browser, those chats move to Your account.

c. What You give the assistant

  • Your questions and the assistant’s answers, kept as Your chats, with the steps the assistant took to answer them.
  • The files You attach, such as PDF and Word documents, and the text read from them.
  • Memory: the standing facts You share or ask the assistant to remember, such as the country You work in, Your profession, Your goals, Your role and Your credential. Your Memory starts with the accrediting body Your LearnFormula credit tracker counts toward, as a fact You can delete.
  • The quizzes the assistant writes for You, Your answers and their grades.
  • The study plan You keep, the body and reporting period of a CPD hours chat, and the exam and exam date of an exam prep chat.
  • Feedback You give on answers, and anything else You type into the Services.

When You take a LearnFormula course in AIFormula, We also keep Your attempts at its quizzes (for a section quiz, its questions as shown, Your choices and LearnFormula’s marking; for a final quiz, only Your score and whether You passed), the notes the assistant writes after a lesson, and how far You got through the YouTube videos You watch here.

d. Course Studio and interview courses

To build a course, You may upload a PDF, Your own slides and the script for them, or record an interview with the assistant. We keep what You upload, the interview’s audio and transcript, the outline, and the slides, narration and video made from them, including the AI voice You choose to narrate Your course. The voice check before an interview plays Your sample back in Your browser only; We do not keep it. A course You send to LearnFormula for review is then also covered by LearnFormula’s Terms of Use, including its Instructor Agreement.

e. Interview invitations

LearnFormula may send You a link inviting You to record an interview course. We keep the invitation’s topic, when it was used and the chat it opened. You can record as a guest; if You then sign up, the chat and its recordings move to Your account.

f. Your LearnFormula records

To answer You, the assistant reads, as You, Your LearnFormula credit tracker (the body it counts toward, the reporting period and Your hours), Your courses and Your progress in them, Your certificates, whether You hold LearnFormula’s Unlimited Pass and when it renews, and LearnFormula’s course catalog, which LearnFormula searches for You according to who You are. We store only what We need to show it to You again, such as a line confirming that You enrolled in a course. AIFormula changes Your LearnFormula records only when You press a named button, such as Enrol, Track or Add to tracker; LearnFormula then records the change.

g. AI assistants You connect

You can connect an AI assistant, such as Claude, to AIFormula’s MCP server at aiformula.com/mcp (see Connect an AI assistant). Connecting asks You to sign in and shows the e-mail address of the account You are connecting. When You press Allow, the assistant can read, as You:

  • Your LearnFormula credit tracker: the body it counts toward, the reporting period and Your hours;
  • the LearnFormula courses You are taking, and the YouTube videos You watched in AIFormula;
  • Your Memory;
  • LearnFormula’s records of accrediting bodies’ requirements; and
  • LearnFormula’s course catalog, searched for You as AIFormula’s own search is.

It cannot change anything, and it receives no lesson content, quizzes or transcripts. We record which assistant You connected and when, and We store the connection’s access and refresh tokens only as one-way hashes. What the assistant and its provider do with what it reads is governed by that provider’s own terms and privacy policy.

h. Communications and support requests

If You contact Us for help, or to report a problem, concern or potential abuse, We may collect and store Your contact information, Your communication and other information about You, such as Your name, e-mail address, browser and IP address, and We may look into Your chats to answer You. AIFormula’s support messenger is provided by Intercom: when You are signed in, it identifies You to Intercom by Your AIFormula account, e-mail address and LearnFormula user ID so that Your conversation with Us is kept with Your account.

4. Payment Information

AIFormula does not collect or store card numbers. You buy LearnFormula’s Unlimited Pass from LearnFormula, which takes payment through its payment processor, Stripe, Inc.; card details You enter go to Stripe and never reach AIFormula, and LearnFormula’s Privacy Policy covers the purchase. Where AIFormula shows Your pass’s renewal, or offers to pay with a card already on file, LearnFormula tells it only the card’s brand, its last four digits and its expiry date. All direct payment processors such as Stripe adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council.

5. Technical and Usage Information We Collect Through Automated Means

When You use the Services, Our servers and Our content delivery network record certain information automatically: technical information such as Your IP address, browser, operating system and device type, and the pages and addresses You request and when; and how the Services served You, such as each answer’s timing, the AI models and tools used for it and their cost, any failures, and the questions and course uses counted toward Your allowance.

We use this information to run, secure and improve the Services, and may use and share it in aggregate form (“Aggregate Information”) to understand how the Services are used. Our collection, use and disclosure of anonymous or Aggregate Information is not subject to the restrictions in this Privacy Policy.

6. Our Use of Cookies and Similar Technologies

AIFormula uses cookies, which are small files a website stores in Your browser, and Your browser’s local storage. By using the Services, You consent to Our use of them as described here:

  • Security and session. __Host-aiformula_session keeps You signed in. __Host-aiformula_auth_tx protects the sign-in round trip through LearnFormula. __Host-aiformula_lf_host remembers which LearnFormula site You signed in through, so that signing out of AIFormula signs You out there too. These are strictly necessary: without them You cannot sign in.
  • Guest. aiformula_guest_id identifies a guest’s browser, so a guest keeps their chats and their free questions are counted.
  • Invitation. __Host-aiformula_invite holds an interview invitation while You start it.
  • Preferences. A cookie remembers whether the sidebar is open, and local storage remembers whether You chose the light or dark theme.
  • Analytics. We use Google Analytics to understand how the Services are used, for example which pages are visited and which buttons are pressed. The events We send carry identifiers, counts and statuses only: never the words of Your questions or answers, Your Memory, the text of Your files or Your quiz answers. Page addresses are recorded without the identifiers of Your chats or of shared answers. To learn how Google uses this information, see Google’s privacy policy.
  • Support. Intercom’s messenger uses cookies to keep Your conversation with Us across pages.
  • Videos. When You play a YouTube video in AIFormula, YouTube’s player may set its own cookies under Google’s privacy policy.

You can set Your browser to warn You about cookies, limit the cookies it accepts or refuse them altogether; if You refuse the strictly necessary cookies, You will not be able to sign in or to keep a guest’s chats.

7. How We Use the Information We Collect

We use the information We collect primarily to provide and improve the Services. For example, We may use it for the following purposes:

  • Providing the Services: answering Your questions, explaining topics with slides, writing and grading quizzes, searching LearnFormula’s courses, building study plans and courses, and remembering what You asked the assistant to remember;
  • Tailoring answers to You with Your Memory and Your LearnFormula records;
  • Carrying out the changes You confirm with a named button, in AIFormula and at LearnFormula;
  • Counting Your questions and course uses toward Your allowance, and checking whether You hold the Unlimited Pass;
  • Resolving problems with the Services, and handling or responding to support questions;
  • Reviewing chats and the steps behind answers to find failures and to improve the Services’ answers, tools and instructions;
  • Monitoring the technical functioning of the Services and Our network;
  • Developing new or improved features;
  • Creating, reviewing and analyzing Aggregate Information;
  • Identifying, researching and protecting against actual, potential or threatened misuse, abuse, fraud or unauthorized use of the Services;
  • Resolving disputes, and communicating with You about Your account; or
  • As We otherwise determine to be necessary or required to ensure the safety and integrity of Our users, employees, third parties, members of the public and the Services.

Authorized LearnFormula staff with an administrator role can read chats, including the steps behind each answer, for these purposes. We do not use Your chats, files or Memory to train AI models, We do not sell Your personal information, and the Services carry no advertising.

8. When and How We Share Your Information

We will only share Your information, including personal information, with the following third parties or in the following circumstances, or as otherwise described in this Privacy Policy:

  • LearnFormula. AIFormula and LearnFormula are both operated by LearnFormula Inc. When the assistant reads Your records or searches courses for You, AIFormula tells LearnFormula who You are (Your LearnFormula user ID), and it sends LearnFormula the changes You confirm, the courses You take and complete in AIFormula, and the courses You send for review.
  • Service providers. We share information with companies that provide services to Us, who may access it only to perform those services for Us:
    • Amazon Web Services, which hosts the Services, their database and files, and their content delivery network;
    • Google, whose Gemini models write the assistant’s answers, read Your files, write and grade quizzes, build courses, transcribe interviews, run the live interviewer and make course narration, images and video, and which provides Google Analytics and YouTube;
    • Cohere, whose models rank course search results: it receives the search’s words and the candidate courses;
    • Intercom, which provides Our support messenger.
    Our AI providers process what We send them to produce the Services’ output, under their terms for API customers.
  • AI assistants You connect. An assistant You connect to AIFormula’s MCP server receives what its tools return, as described in section 3(g), and its provider handles it under its own policies.
  • People You share an answer with. When You share an answer, anyone with its link can read that question and answer. The cards showing Your own records are not shown to them, and deleting the chat stops the link from working.
  • Safety, security, cooperation with law enforcement and compliance with legal obligations. We may disclose Your information, including personal information, if We, in Our sole discretion, have a good faith belief that disclosure is: (1) permitted or required by law; (2) requested in connection with or relevant to a judicial, governmental or legal inquiry, investigation, order or proceeding; (3) required or reasonably necessary pursuant to a valid subpoena, warrant or other legally valid inquiry or request; (4) reasonably necessary to enforce the Terms of Use, this Privacy Policy or any other legal agreement; (5) required to detect, prevent or otherwise address fraud, abuse, misuse, potential violations of law, or security or technical issues; or (6) required or reasonably necessary to protect against imminent harm to the rights, property or safety of LearnFormula, Our users, employees, any minors, members of the public or the Services. We may also disclose information about You to Our auditors or legal advisors in assessing Our disclosure obligations and rights under this policy.
  • Business transfers, sales, mergers or divestitures. If LearnFormula undergoes a business transition, such as a merger, acquisition, corporate divestiture or dissolution (including bankruptcy), or a sale of all or part of its assets, We may share, disclose or transfer all of Your information, including personal information, to the successor organization.
  • With Your permission. If You agree to have Your information shared with a third party, We will share it with that third party, whose use of it is subject to its own privacy policy.

9. How We Keep Your Information Secure

We take commercially reasonable security measures to protect against unauthorized access to, or unauthorized alteration, disclosure or destruction of, the information We collect and store. These include encrypting information in transit, keeping it on secured servers behind a firewall, storing sign-in and connection tokens only as one-way hashes, and limiting who at LearnFormula can read it. No system can be 100% secure, however, and We cannot guarantee that Your communications with Us, or the information We collect, will be free from unauthorized access by third parties. Your LearnFormula password is an important part of this protection: do not share it with anyone, and if it has been compromised, change it in LearnFormula immediately and contact support@learnformula.com.

10. Your Choices Regarding the Use of Your Information

You can always choose not to provide certain information, but You may then be unable to use some features of the Services. In particular:

  • You can see, edit and delete Your Memory under About you.
  • You can close or delete any chat, and clear Your main chat (see section 13).
  • In a course’s own chat, After each lesson in the chat’s menu turns off the notes the assistant writes after a lesson.
  • An AI assistant can read Your records only if You connect it and press Allow.
  • You can block analytics cookies in Your browser without losing any feature of the Services.

AIFormula does not send You promotional e-mail. E-mail from LearnFormula is governed by LearnFormula’s Privacy Policy, and You can unsubscribe from LearnFormula’s promotional messages as it describes.

11. How We Respond to Do-Not-Track Signals

Because people are often unaware that their browser’s do-not-track signal is active, it does not reliably reflect their preferences. AIFormula therefore does not respond to do-not-track signals. You can block analytics cookies as described in section 6.

12. How to Access and Update Your Information

You can see and change Your Memory under About you, and see Your chats under Chats. Your name, e-mail address and LearnFormula records are kept by LearnFormula, and You update them in Your LearnFormula account. To ask for a copy of other information We hold about You, write to support@learnformula.com.

13. Deleting Chats and Your Account, and How Long We Keep Information

a. Deleting a chat

Deleting a chat removes its messages and the files attached in it from Your account: nobody can open, search or share them, the assistant can no longer read them, and links to answers shared from it stop working. Clearing Your main chat does the same for the main chat. Neither is a permanent erasure: We keep deleted records for the purposes in section 7, and to meet legal obligations, resolve disputes and enforce Our agreements.

b. Deleting Your account

To delete Your AIFormula account, write to support@learnformula.com. We will make commercially reasonable efforts to respond within 3 business days. Deleting Your AIFormula account deletes the chats, files, Memory, quizzes and connections to AI assistants it holds. Your LearnFormula account, courses, certificates and credit tracker are LearnFormula’s, and their deletion is governed by LearnFormula’s Privacy Policy, under which LearnFormula keeps the records of uploaded course content, including a course You sent from Course Studio, for seven (7) years as Canadian law requires.

c. What remains

Even after You delete a chat or Your account, Your information is not deleted in its entirety at once. Copies remain in backups and server logs, which are kept for a limited time and then deleted on a fixed schedule; information already put in aggregate form is not removed; and information You shared with others, such as an answer opened from a shared link or records an AI assistant You connected has already read, may have been copied by them. We will retain Your information for as long as it serves a reasonably useful purpose for providing and protecting the Services, or as the law requires.

14. Modifications to this Privacy Policy

From time to time We may update this Privacy Policy to clarify Our practices or to reflect new or different privacy practices, such as when We add new features, and We reserve the right to change it at any time. If We make a material change, We will notify You by prominent means, such as by e-mail to the address on Your account or by a notice in the Services. Other changes take effect on the day they are posted unless stated otherwise.

If You continue to use the Services after a change takes effect, You accept this Privacy Policy as changed. The revised Privacy Policy supersedes all previous versions, so We encourage You to review it whenever You use the Services; the date at the top shows when it was last revised.

15. International Operations

We store information about visitors and users of the Services on servers located in the United States, with Amazon Web Services. Our AI providers may process it in other countries. If You use the Services from outside the United States, the information You submit will be transferred to, stored in and processed in the United States and other countries, whose data protection laws might not be as comprehensive as those in Your country. By submitting Your information or using the Services, You consent to that transfer, storage and processing.

Personal data collected within Switzerland and the European Economic Area (“EEA”) may be transferred to, and stored at, a destination outside Switzerland and the EEA, and may be processed by staff operating outside Switzerland and the EEA who work for Us, for one of Our affiliates or for one of Our service providers. By submitting Your personal data or using the Services, You agree to this transfer, storage and processing.
